About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Sanctuary Personnel. As a key member of our support team, you will provide administrative assistance to our management team and associate psychologists, enabling them to increase their productivity and deliver high-quality services to our clients.

Key Responsibilities
  • Administrative Support: Provide administrative support to the management team, including diary management, arranging appointments, and scheduling meetings.
  • Minute Taking and Document Preparation: Take minutes of meetings and prepare meeting packs and minutes for distribution to attendees.
  • Communication and Coordination: Manage email and telephone inquiries, and coordinate support across the service for the management team.
  • Document Management: Pre-populate templates, proofread and edit documents, and ensure accurate filing and housekeeping of file storage and database systems.
  • Project Support: Coordinate support for the management team to produce presentations, strategy documents, training materials, and service plans.
  • Record Keeping and Data Protection: Maintain accurate records and observe data protection protocols.
  • Problem Solving and Communication: Support colleagues and clients to problem-solve any challenges that arise, and communicate effectively at all levels of the organization and partner agencies.
Requirements
  • Experience: Proven experience as a personal assistant, administrator, or similar position.
  • Skills: Strong IT skills, competent in using Microsoft Office suite, excellent business writing skills, and confident using the telephone.
  • Personal Qualities: Effective time management and organizational skills, attention to detail, proactive approach, and ability to work autonomously.
  • Education and Training: Desire to learn and develop, keen interest in empowering others and delivering high standards of service.
  • Security Clearance: Enhanced DBS check.
