Job Summary:

The FM Administrator will play a crucial role in ensuring the smooth operation of our facilities management services. As a key member of our team, you will be responsible for providing administrative support to our facilities management team, ensuring that all supported administrative elements of the contract are maintained and completed to support delivery in accordance with Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).

Key Responsibilities:

  • Facilities Helpdesk Management: Operate the facilities helpdesk utilizing the Computer-Aided Facilities Management (CAFM) system, ensuring timely and effective resolution of issues.
  • Communication and Updates: Serve as the initial point of contact and provide regular relevant updates to stakeholders who have logged issues.
  • Procurement Support: Collaborate with the facilities management team and procurement lead to support procurement activities, both locally and within the framework provided.
  • Project Management Support: Provide administrative support for projects as needed, ensuring seamless execution and delivery.
  • Asset Management: Record and maintain accurate asset information within the CAFM system, ensuring all asset data is current and up-to-date.
  • Reporting and Analysis: Produce reports and forecasts based on data within the CAFM system, providing valuable insights for decision-making.
  • Financial Management: Monitor and record all purchase orders and expenditures, ensuring accurate financial tracking and reporting.
  • Expense and Payroll Processing: Process expenses and travel requirements, as well as payroll time sheets, overtime, and sickness.

Requirements:

  • Excellent Communication Skills: Possess excellent communication skills, both verbal and written, to effectively interact with stakeholders at all levels.
  • CAFM System Expertise: Have extensive experience using the CAFM system, with a strong understanding of its features and functionalities.
  • Technical Skills: Possess excellent PC skills on a variety of applications, with the ability to operate and maintain accurate records.
  • Time Management: Demonstrate the ability to work to set deadlines, prioritizing tasks and managing time effectively.
  • Reporting and Analysis: Have the ability to create reports from raw data, providing valuable insights for decision-making.
  • Confidentiality and Professionalism: Possess the ability to communicate confidentially and professionally at all levels, both verbally and in writing.
