Position: Construction Administration

ICDS is looking for a dedicated Construction Administrator to join our team, contributing to the effective management of construction projects.

The successful candidate will be responsible for providing comprehensive administrative support essential for the smooth execution of construction operations. This role encompasses the oversight of all project documentation in accordance with our established policies and procedures.

Key Responsibilities:
  • Manage the requisition of materials and equipment using the COINS system, ensuring accurate coding and timely follow-up on orders.
  • Process Goods Received Notes (GRNs) promptly, ensuring correct allocation and adherence to order specifications.
  • Prepare and distribute Weekly Plant Reports categorized by various sub-headings as required by the Project Manager (PM), and ensure accurate reconciliation of plant returns.
  • Conduct reconciliation of Plant Hire Invoices, compile external plant invoices, and summarize findings on a spreadsheet, checking against original quotations and orders while flagging discrepancies.
  • Maintain a detailed record of missing, damaged, and write-off plant invoices, forwarding them to the PM for further action.
  • Generate and issue weekly Labour Returns categorized by discipline, bringing any anomalies to the attention of the project team.
  • Keep an updated Labour gang spreadsheet in collaboration with the Construction Manager, providing weekly updates to the PM.
  • Process weekly payroll accurately and submit to accounts in a timely manner.
  • Prepare a weekly Overtime Report for the project and communicate findings to the PM.
  • Monitor environmental compliance and upload monthly statistics to the project database.
  • Assist in health and safety initiatives, including site inductions and processing of individual paperwork.
  • Collaborate with the PM and site management to address arising situations effectively.
  • Support the site team in resolving payment queries or employment-related issues, liaising with HR as necessary.
Essential Skills:
  • Proficient understanding of the COINS system and its functionalities.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Numerate and literate, with a collaborative team-oriented mindset.
  • Excellent communication skills and IT proficiency, particularly in QED, spreadsheets, databases, and Document Control Systems.
  • Ability to perform under pressure, adapt to changes, and embrace new procedures.
  • Demonstrated leadership qualities with the capacity to motivate and support team members.
  • Systematic and disciplined approach to safety management.

Construction experience is essential for this role.
