About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Office Angels, UK. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our facilities company.

Key Responsibilities
  • Booking jobs onto the system, ensuring all necessary details are recorded accurately and efficiently.
  • Overseeing and responding to the shared mailbox, providing timely and effective communication to clients and colleagues.
  • Arranging hire equipment and coordinating logistics for jobs, ensuring seamless execution and minimal downtime.
  • Planning the schedule for electricians, optimizing efficiency and minimizing downtime to meet client expectations.
  • Updating clients on the progress of works, maintaining clear and effective communication throughout the project lifecycle.
  • Sending completed paperwork to clients, ensuring accuracy and timeliness.
  • Raising and sending invoices, ensuring accuracy and timeliness to meet client expectations.
  • Ensuring all Service Level Agreements (SLAs) set by the client are met, providing exceptional customer service.
  • Ensuring compliance is up to date and accurate, adhering to industry standards and regulations.
  • Dealing with enquiries and queries promptly and professionally, providing outstanding customer service.
  • Liaising with clients via email and phone, providing exceptional customer service and support.
  • Ordering materials and parts for each job, ensuring availability and timely delivery.
  • Working collaboratively with the team to achieve targets and deliver exceptional results.
Requirements
  • Proven experience in a similar administrative role, with a strong understanding of office procedures and protocols.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy, with a keen eye for detail and a commitment to quality.
  • Proficiency in MS Office Suite, with experience in using software applications to manage administrative tasks.
  • Ability to work well within a team, with excellent communication and interpersonal skills.
  • Confidence and proactivity, with a willingness to take on new challenges and responsibilities.
