Job Overview

Gleeson Recruitment Group is seeking an experienced Facilities Coordinator Lead to join their team. As a key member of the Facilities Management (FM) team, you will play a vital role in ensuring the smooth operation of the company's facilities.

The successful candidate will have a strong understanding of facilities management principles and practices, with experience in maintaining accurate records and providing regular reports to senior management.

Key Responsibilities:

  • Maintaining the company risk system and liaising with suppliers to ensure compliance.
  • Preparing and sending letters to suppliers and tenants regarding requirements under contract/lease.
  • Updating tenant notes in the Computer Aided Facilities Management (CAFM) system.
  • Assisting with property inspections locally and recording actions.
  • Providing regular reports to the line manager on all aspects of property performance, existing risks, and viable, robust solutions.
  • Ensuring the collection of accurate and relevant data relating to contractor performance and providing analysis as required.
  • Assisting in providing regular business case proposals for any Capital Expenditure (CAPEX) works or service chargeable projects.
  • Undertaking regular helpdesk reports and ensuring the data held is accurate.
  • Running service charge/budget variance reports and assisting the FM team with accurate reporting.
  • Maintaining accurate billing data and ensuring all fees are recovered where relevant.
  • Raising ad-hoc and project fee invoices.

Estimated Salary: £30,000 - £35,000 per annum
