Role Overview

We are seeking a proactive and enthusiastic Facilities Assistant to join our expanding team. This role is essential in ensuring a well-maintained and efficient office environment that supports our growing operations.

Key Responsibilities

  • Conduct daily inspections of the premises, reporting any maintenance issues and ensuring cleanliness and organization in all areas, including meeting rooms and communal spaces.
  • Oversee the coordination of meeting and training rooms, collaborating with various departments to arrange furniture layouts and setups according to specific requirements.
  • Manage health and safety protocols, including performing monthly safety assessments.
  • Document and track all facility-related issues, coordinating repairs with landlords and contractors as necessary.
  • Ensure that external service providers fulfill their maintenance obligations and that all required documentation is prepared in advance.
  • Act as a First Aider and Fire Warden, ensuring safety protocols are followed.
  • Assist with the receipt and storage of deliveries, managing inventory and distribution of supplies.
  • Facilitate access control for staff and visitors, maintaining accurate records of access cards.
  • Provide reception support during peak times or when the primary receptionist is unavailable.
  • Embrace additional responsibilities and assist the team as needed to enhance overall service delivery.
  • Maintain effective communication with colleagues, suppliers, and stakeholders to foster a collaborative environment.

Candidate Profile

The ideal candidate will possess strong organizational skills, attention to detail, and a commitment to delivering excellent customer service. A background in facilities management is preferred, along with the ability to manage multiple tasks in a fast-paced environment.
