About the Role

We are seeking a highly organized and detail-oriented individual to join our Integrated Safeguarding Team as an Administrative Support Specialist. As a key member of our team, you will provide administrative support to our safeguarding practitioners, ensuring the smooth operation of our services.

Key Responsibilities
  • Provide administrative support to the safeguarding team, including maintaining accurate records, preparing reports, and coordinating meetings.
  • Deal with telephone and face-to-face requests in a professional and courteous manner.
  • Maintain stock of stationery and ensure the office is fully equipped.
  • Provide administrative support for the organization of meetings, filing, and gathering information.
  • Locate hospital records for the safeguarding team.
  • Utilize social media to promote the integrated safeguarding team.
  • Manage correspondence, emails, and enquiries in relation to adult and children safeguarding.
  • Prepare timetables for visitors to the team using team diaries.
  • Typing and formatting documents, spreadsheets, databases, and presentations using MS Office functions and to tight deadlines.
  • Maintain effective pending, planning, and filing systems (electronic and/or paper) with a view to support progress to a paper-light environment.
  • Regular use of Medway, EDIS, and other Trust IT systems.

Requirements
  • GCSE or equivalent A-C maths and English.
  • Clerical experience.

  • Excellent written and verbal communication skills, team worker, awareness/understanding of confidentiality, and adaptable to meet service needs.
