About the Role

We are seeking an experienced Office Manager to join our Art Department at Penguin General. As a key member of the team, you will be responsible for ensuring the smooth operation of the department, managing the workflow of the creative team, and providing administrative support.

Key Responsibilities
  • Manage the day-to-day operations of the Art Department, including coordinating schedules and deadlines.
  • Oversee the design production schedule and sign-off process, ensuring that all book covers are on track and meet deadlines.
  • Provide administrative support to the immediate and wider team, including updating and maintaining design-related aspects in Biblio.
  • Track and process invoices in a timely manner and draw up contracts for freelance designers, illustrators, and photographers.
  • Help facilitate the implementation of new operational systems in the Design team and attend cover/briefing meetings to take minutes.
  • Work with the Art Director to set agendas for cover meetings and chase briefs on the Biblio system, cover copy, and author sign-offs to ensure all covers are on schedule.
Requirements

We are looking for someone with demonstrable experience in project management, office management, or senior administrative/support roles. You will be calm, personable, and able to cope with encouraging others and enforcing deadlines. You will also be confident dealing with stakeholders at all levels in the organisation, have excellent prioritisation and organisation skills, and be a solutions-oriented individual who can foresee issues and be proactive in resolving them.
