We are seeking a highly organized and experienced Senior Clerical Officer to join our team at Sheffield Teaching Hospitals NHS Foundation Trust. As a key member of our outpatient services team, you will be responsible for leading a small team to provide an efficient administrative service to patients and clinicians.
Your primary focus will be on overseeing the administration processes of the Dermatology reception team, ensuring that designated outpatient/day-case administrative tasks are managed efficiently and effectively in line with national and local standards.
Main Responsibilities- Ensure all new starters receive the appropriate local induction and training.
- Develop and implement a training plan for new starters and monitor their progress.
- Provide training and development opportunities for other staff members as needed.
- Act as the point of contact for ad-hoc queries from the outpatients team Clerical Officers.
- Produce the weekly rota for the outpatients team to allocate workload.
- Delegate tasks effectively to ensure efficient use of A&C time.
- Support Clerical Officers during periods of increased pressure, reduced staffing, and unplanned leave.
- Conduct team appraisals, sickness reviews, and manage annual leave requests.
- Contribute to the development of new local standard operating procedures in conjunction with management, medical, nursing, and clerical teams.

Requirements- GCSE grade C/4 or above (or equivalent) in Maths and English.
- NVQ administration Level 3 or equivalent level of knowledge and experience in Admin.
- Training in the use of relevant information systems and IT packages to ECDL level or equivalent qualification.
- Experience in an outpatient setting.
- Experience of providing administrative support to a multidisciplinary team.
- Experience of training staff.
- Experience of using an electronic patient record such as Lorenzo, Patient Centre, or Infoflex.
- Experience of managing multiple tasks.
- Experience of service improvement/developing standard operating procedures.
- Knowledge of Trust policies including Access Policy and 18-week RTT policy.
- Conversant in the use of all Microsoft Office packages, particularly Word and Excel.
- Excellent organisational skills.
- Effective verbal and written communication skills.
- Ability to prioritise own workload effectively.
- Ability to organise others and prioritise workload for a team.
- Excellent IT/keyboard skills.
- Ability to use initiative and work to tight deadlines.
- Excellent understanding of patient confidentiality.

Salary: £24,071 to £25,674 a year per annum pro rata for part-time staff.
