Job Summary

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at Oliver Wyman. As an Executive Support Specialist, you will provide exceptional administrative support to our Partners, ensuring seamless execution of their daily tasks and projects.

Key Responsibilities
  • Administrative Support
    • Manage diaries for Partners, scheduling internal and external meetings, conference calls, and video conferences.
    • Coordinate travel arrangements, book accommodations, and arrange transportation.
    • Prepare letters, proposals, and other documents as required.
    • Prepare monthly timesheets and expense reports for assigned Partners and Principals.
    • Assist with greeting clients, booking meeting rooms, and organizing catering.
    • Organize and maintain Partner files and offices.
  • Client Development
    • Understand Partner key client and sales goals and support them by:
    • Maintaining a list of contacts and business activities in address books and CRM databases.
    • Tracking and maintaining sales activity/pipeline.
    • Proactively identifying clients who require follow-up and arranging meetings.
    • Coordinating travel efficiently to maximize client meetings.
    • Developing excellent rapport with client assistants to enhance client relationships.
    • Executing requested follow-up calls for client mailings.
  • Team Support
    • Provide coverage for EAs when out of the office to ensure seamless support to Partners.
    • Provide short-term coverage for Partners during EA assignment transitions or new to the Firm.
    • Provide training and support to new EAs.
    • Participate in team meetings and projects to improve processes and performance.
    Requirements
    • Minimum three years' experience in an administrative or customer service position.
    • Strong service focus, dedicated to meeting expectations through effective relationships and high-quality deliverables.
    • Excellent verbal and written communication skills, with ability to interact with people at all levels in a multicultural environment.
    • Poise and judgment, with ability to maintain confidentiality.
    • Proactive team player with experience working in a team environment.
    • Ability to juggle multiple tasks, prioritize, and manage time effectively.
    • Self-starter, quick learner, with confidence and ability to work with minimal guidance.
    • Ability to take constructive feedback and incorporate it quickly.
    • Ability to manage a high work volume and meet deadlines in a fast-paced environment.
    • Methodical, organized, with excellent attention to detail and accuracy.
    • Flexible attitude, hard-working, and results-driven.
    Technical Skills
    • Good Word, PowerPoint, and Excel skills.
    • Working knowledge of Outlook and CRM systems (Microsoft Dynamics).
    • Touch typing speed of 50-60 wpm.
