Job Overview:

This role involves providing support to the medical secretariat, ensuring efficient administration and secretarial services to consultants. You will be responsible for handling correspondence with external stakeholders, managing practice financial accounts, and maintaining accurate records.

Key Responsibilities:
  • Provide cover support for the Medical Secretariat.
  • Deliver a high-quality secretarial and administrative service to consultants.
  • Accurately transcribe from audio dictation, using medical terminology, all correspondence with external stakeholders.
  • Manage private accounts of consultants, including sending invoices, credit control, and maintaining accurate accounting systems.
  • Liaise closely with other hospital departments.
  • Organize and manage outpatient clinic notes, ensuring all correspondence and results are available.
  • Arrange patients' admissions by liaising with consultants and other hospital departments.
  • Deal with telephone enquiries from patients, medical staff, GPs, and other professionals at all levels, providing timely and courteous advice and guidance.
  • Maintain accurate filing systems and handle sensitive and confidential work.
  • Liaise with Private Patient advisors regarding self-funding patients.
  • Cooperate with colleagues to ensure the highest quality of care for patients.
Requirements:
  • Previous experience within a similar role or related field.
  • RSA qualification in medical typing/word processing (desirable but not essential).
  • Good literacy and numeracy skills.
  • Proficient in Microsoft Office programs.
  • Ability to comply with mandatory training requirements.
  • Total confidentiality expected at all times.
  • Excellent communication and interpersonal skills.
  • Flexible and able to multi-task and prioritise tasks effectively.
  • Good team worker.
