Job Title: Facilities Management Coordinator

About the Role:

We are seeking a highly organized and detail-oriented Facilities Management Coordinator to join our team at ZipRecruiter. This is a permanent position based in Ealing, West London.

Key Responsibilities:

  • Provide administrative support for compliance and contract management processes.
  • Manage work schedules and coordinate with subcontractors.
  • Ensure accurate invoicing and purchasing procedures.
  • Prepare reports and maintain confidentiality.
  • Assist with web cycle queries and ensure timely resolution.
  • Track overtime and communicate with payroll.
  • Support compliance audits to ensure statutory and H&S requirements are met.

Requirements:

  • Experience in administration support, preferably in facilities management.
  • Knowledge of Maximo is an asset.
  • Excellent communication and organizational skills.
  • Ability to work independently and as part of a team.
  • Familiarity with Microsoft Office and management systems.
