Programme Support Officer

Job Overview:

The Programme Support Officer is accountable for the administration of the inspiring Futures programme, including marketing and communications, meeting minutes, and social media presence.

They will shape, implement, and drive proactive communications and media relations plans to promote awareness and engagement, ensuring the brand reputation is at the forefront of all communications and media relations activities.

Key Responsibilities:

  • Project Services
  • Provide administrative services to the Project Team, including keeping records, recruitment files, and timesheets, and reporting any discrepancies to the Senior Management Team.
  • General Administration
  • Provide accurate and timely support through a range of administrative activities, such as letters, queries, file setup, and management.
  • Assist in the preparation of meeting agendas, including correspondence, reports, and policy documents as requested.
  • Maintain the official minute books of all meetings and staff meetings, ensuring confidentiality, records of motions, and decisions, and updating the action logs routinely.
  • Ensure correct notices are given for meetings in accordance with legal requirements.
  • Record minutes at meetings, including Board Minutes.
  • Ensure facilities are provided for the conduct of meetings.

Generic Responsibilities:

  • Represent the Senior Management Team and the organisation as appropriate at various meetings, working parties, panels, etc., as directed.
  • Co-ordinate and participate in internal/external meetings and forums.
