Administrative Support Role Overview

Rhodar Specialist Enabling Works is seeking a skilled Administrative Support Specialist to join our team.

Key Responsibilities

  • Manage new client instructions, including setting up records on our CRM system and accepting jobs on client portals.
  • Answer telephone calls from policy holders and clients, addressing queries professionally and escalating complex issues as needed.
  • Coordinate surveys, book works within agreed SLA, and ensure surveyors are utilized effectively.
  • Make daily courtesy calls to customers for upcoming planned works, ensuring everything is in place for successful completion on time.
  • Prepare documentation, including consignment notes, PRCs, and site diaries, and distribute to site supervisors.
  • Process completed site paperwork, including forwarding to clients within their KPIs.
  • Update weekly mask sheets register and spreadsheet.
  • Assist with departmental training, maintain records, and perform ad hoc duties as required.

About You

  • Strong written and verbal communication skills, with excellent telephone manner.
  • Proficient in Microsoft Office, particularly Word, Excel, Access, and email/internet.
  • Excellent organizational skills, with ability to multitask and re-prioritize frequently.
  • High level of accuracy, with attention to detail.
  • Ability to work independently and resolve issues.
  • Strong communication and interpersonal skills.
  • Ability to handle pressure and manage time effectively.
  • Adaptability and teamwork skills.
  • Friendly, calm, and professional demeanor.
  • Understanding of internal confidentiality requirements.
