Job Summary

We are seeking a highly organized and customer-focused Lettings Coordinator to join our busy team in our City and Clerkenwell office. As a Lettings Coordinator, you will play a vital role in supporting our Lettings Team and ensuring the smooth operation of our property management services.

Key Responsibilities

  • Process new tenancies and ensure timely completion of necessary documentation
  • Arrange check-in appointments and inventories, and generate and distribute tenancy agreements
  • Assist negotiators in completing reference checks and chasing move-in funds from tenants
  • Ensure documentation and certification compliance for tenancies, and send welcome letters, inventories, and update utility switching portals
  • Send terms of business and client ID requests, and help ensure compliance by checking landlord licensing and valid compliance certificates
  • Process check-outs and deposit returns, and generate and complete work orders
  • Ensure excellent data quality, saving documents and file notes on Reapit, and assist with marketing efforts including canvassing, window cards, boards, and booking photos

Other Duties

  • Greet and welcome visitors to the office, assisting with initial queries and handing out keys to contractors and inventory clerks
  • Maintain an accurate record of property key allocation and movement
  • Handle main line telephone calls, voicemails, emails, and post, and assist with facilities management tasks such as ordering stationery and recycling
  • Support other offices and departments as required

Requirements

  • At least 2-3 years of experience in the property industry, preferably in lettings or property management
  • Excellent customer service skills, with the ability to work in a fast-paced environment and meet deadlines
  • Organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Proficiency in using property management software, such as Reapit
