Lettings Coordinator Opportunity

We are seeking a highly organized and customer-focused Lettings Coordinator to join our dynamic team at Hurford Salvi Carr. As a key member of our Lettings Team, you will play a vital role in ensuring the smooth operation of our lettings process.

Key Responsibilities:
  • Process new tenancies, ensuring timely and accurate completion
  • Arrange check-in appointments and inventories, maintaining a high level of customer satisfaction
  • Generate and distribute tenancy agreements, ensuring compliance with relevant regulations
  • Assist negotiators in completing reference checks, providing excellent customer service
  • Chase move-in funds from tenants, maintaining effective communication
  • Ensure documentation and certification compliance for tenancies, upholding our high standards
  • Send welcome letters, inventories, and update utility switching portals, providing a seamless experience for our clients
  • Send terms of business and client ID requests, maintaining a professional approach
  • Help ensure compliance by checking landlord licensing and valid compliance certificates, upholding our reputation
  • Conduct check-outs and deposit returns, resolving any issues efficiently
  • Generate and complete work orders, ensuring prompt resolution of any issues
  • Ensure excellent data quality, saving documents and file notes on Reapit, maintaining a high level of accuracy
  • Assist with marketing, including canvassing, window cards, boards, and booking photos, promoting our services effectively
Other Duties:
  • Greet and welcome visitors to the office, providing a warm and professional welcome
  • Hand out keys to contractors and inventory clerks, ensuring smooth operations
  • Maintain an accurate record of the allocation and movement of property keys, upholding our high standards
  • Responsible for main line telephone calls and voicemails, emails, and post, providing excellent customer service
  • Facilities Management, including stationary, recycling, cleaning, alarm, and other tasks, ensuring a smooth operation
  • Assist other offices and Lettings departments as required, demonstrating a team-oriented approach
Requirements:

We are looking for a candidate with at least 2-3 years of experience in the property industry, familiar with the lettings process. You should be customer service orientated, willing to help, and welcome visitors to the office, dealing with lettings queries in an enthusiastic, well-presented, confident, and polite manner. You will need to be organized, with the ability to meet deadlines and prioritize tasks effectively.
