About the Role

This is an exciting opportunity to join the Motor Fuel Group as an Executive Support Specialist, providing high-level administrative support to the Chief Executive, Chief Operating Officer, and Chief Financial Officer. The successful candidate will be responsible for managing the day-to-day operations of the office, ensuring seamless communication and coordination across the organization.

Main Responsibilities

  • Diary Management: Organize meetings, both in-person and virtually, and arrange meeting rooms as needed.
  • Board Pack Preparation: Collate and prepare Board Packs and other presentations for senior leadership.
  • Travel Arrangements: Coordinate travel itineraries for senior team members, both personal and work-related.
  • Event Planning: Arrange company events, such as summer BBQs and Christmas parties.
  • Document Management: Coordinate the signature of important documents and ensure safe return to relevant parties.
  • Record Keeping: Maintain accurate and up-to-date company records.
  • System Implementation: Implement new systems and processes as required.
  • Expense Processing: Process expenses for senior team members.
  • Internal Communications: Communicate internal messages to the business and facilitate effective communication across departments.
  • Ad-Hoc Tasks: Perform varied tasks and projects to support senior leadership in the smooth running of their personal and professional lives.

Requirements

  • Full and Clean Manual Driving License: The successful candidate will need to hold a full and clean manual driving license, as there may be occasions when they need to drive company cars.
