Job Summary:

We are seeking a highly skilled and experienced Reception Services Coordinator to join our team at EMCOR UK. As a key member of our front-of-house team, you will be responsible for providing exceptional customer service and administrative support to our clients and colleagues.

Key Responsibilities:

  • Provide a professional and welcoming reception service to clients and visitors, ensuring a positive first impression of our company.
  • Manage the switchboard, answering calls in a timely and efficient manner, and directing calls to the relevant team members or departments.
  • Take messages and relay information to colleagues, ensuring that all communication is accurate and timely.
  • Ensure that all visitors are greeted and logged in, and that their details are recorded accurately.
  • Maintain the Premier House telephone extension list, ensuring that all staff have up-to-date information.
  • Update notice boards with internal announcements and current vacancies, ensuring that all information is accurate and up-to-date.
  • Project a professional and positive image at all times, representing EMCOR UK in a positive and respectful manner.
  • Ensure that security processes are adhered to, including access control and parking arrangements.
  • Assist with the distribution of incoming faxes, particularly those marked urgent, and notify relevant colleagues accordingly.
  • Provide back-up cover for the Post Room in periods of absence or sickness.
  • Assist with meeting room bookings, ordering refreshments, and making tea and coffee as required.
  • Oversee the archive storage room, ensuring that it is kept tidy and organized.
  • Ensure that EMCOR UK brochures are available in the Reception area.
  • Assist the Management Assistant with ad hoc duties for Premier House.
  • Provide back-up administration support as and when required.
  • Uphold and promote the good name of EMCOR UK at all times.
  • Operate a clear desk policy and be responsible for general tidiness and housekeeping within the Reception area.
  • Develop an understanding of EMCOR UK to improve personal contribution to the company and all staff interacted with.

Requirements:

  • Excellent telephone manner and communication skills.
  • Good organizational and time management skills, with the ability to prioritize tasks effectively.
  • Smart, presentable appearance and a professional demeanor.
  • Use of own initiative and ability to work independently.
  • Personable, approachable, and able to work as part of a team.
  • Extensive reception experience, with a strong understanding of switchboard procedures.
  • Good IT skills, including Word, Excel, and Lotus Notes.
