Job Title: Accounts Payable Assistant

We are seeking a highly organized and detail-oriented Accounts Payable Assistant to join our team at Absolutely Recruitment. As an Accounts Payable Assistant, you will play a crucial role in the Finance Department, working closely with the team to ensure the smooth operation of financial processes.

Key Responsibilities:
  • Provide administrative support to the Finance Department, including managing communications, sorting mail, and responding to email and telephone queries.
  • Maintain and manage the purchase ledger, raising purchase order requests as necessary, and reconciling and controlling creditors.
  • Manage petty cash floats, including paying out, analyzing, reconciling, and posting accounts payable invoices and expenses.
  • Set up and maintain filing systems, both electronic and manual, and ensure proper governance in the production and maintenance of standard finance forms.
  • Provide training and support to Regional Treasurers in respect of accounting software, recording financial information, analyzing, and posting regional expenditure.
  • Produce departmental budgets and calculate year-end variance reports, assisting with the preparation and monitoring of budgets as directed.
  • Coordinate and administer the organization's company credit cards, including setting up, monitoring expenditure, and vouchers from card holders.
  • Perform bank reconciliations, including internal transfers and banking, and generate correspondence as necessary.
  • Update information on the cash flow report as required and carry out relevant research to assist the Head of Finance in the production of management reports.
Requirements and Skills:
  • GCSE level or equivalent to C grade in Maths and English.
  • Minimum of three years' experience in a general accounts environment.
  • Familiarity with general accountancy packages and Microsoft Office, including Word, Outlook, PowerPoint, and Excel to intermediate level.
  • Working knowledge of office databases and familiarity with audit requirements.
Desirable:
  • AAT qualified or commitment to ongoing study.
  • Experience of working for a membership organization.
