POSITION OVERVIEW

The primary objective is to assist the Senior RFM & CM in delivering exceptional service quality to both tenants and clients across designated retail locations. This role involves overseeing operational and technical service delivery, as well as managing relevant service partners and contractors. Ensuring that all risks are effectively managed and that all locations comply with statutory requirements is essential.

KEY RESPONSIBILITIES

Unmanned Sites

Operational Management
  • Lead operational initiatives to uphold high standards in cleanliness, maintenance, and overall presentation.
  • Conduct regular documented site evaluations, submitting reports as required.
  • Ensure properties are maintained in a secure and safe condition, coordinating maintenance activities with service providers as necessary.
  • Continuously review operational processes to ensure compliance and adherence to best practices.
  • Maintain all site equipment in accordance with manufacturer guidelines.
  • Implement strategies for effective car park management to optimize customer parking availability.
  • Deliver services within established budgets, conducting tenders and processing orders as needed.
  • Assist in the preparation of service charge budgets.
Occupier Liaison
  • Serve as the primary contact for tenant inquiries, addressing issues promptly and efficiently.
  • Regularly engage with tenants to foster strong relationships and swiftly resolve service-related concerns.
  • Conduct inspections to ensure tenant compliance with maintenance obligations and management regulations.
  • Report any changes in occupancy status or unauthorized alterations to the senior RFM & CM.
Relationships and Team Motivation
  • Cultivate strong partnerships with suppliers and service providers to ensure alignment with required standards and our mission to create preferred environments.
  • Ensure that service partner staff are trained to deliver exceptional customer service and understand their role in enhancing the customer experience.
  • Establish relevant external relationships to advocate for the interests of property owners and tenants within the broader community.
Sustainability and Community
  • Implement and monitor environmental strategies for each site, focusing on waste and energy management to meet sustainability objectives.
  • Address issues impacting staff wellbeing.
  • Ensure that any charitable activities on-site are authorized and that relevant documentation is maintained.
Health & Safety
  • Ensure compliance with health and safety policies, ensuring all on-site personnel are aware of their responsibilities.
  • Update health & safety reporting systems and ensure timely completion of certifications and actions.
  • Maintain comprehensive risk assessments for each property and issue permits as necessary.
  • Assist in preparing and ensuring readiness of business continuity plans.
  • Keep site notice boards updated and ensure tenant contact information is current.
Principal Responsibilities (Manned Sites)
  • Support on-site management in maintaining the highest operational standards.
  • Provide technical guidance on resolving maintenance issues and service queries.
  • Offer support to ensure properties remain safe and compliant.
Additional Responsibilities
  • Respond to incidents or emergencies at any site and report back to appropriate personnel promptly.
  • Attend relevant professional development events to stay informed about industry innovations and best practices, making recommendations for improvements.
Responsiveness
  • Meet all deadlines related to health and safety reporting requirements.
  • Ensure full compliance with health and safety documentation.
  • Maintain 100% compliance with sustainability and environmental data requirements.
  • Respond promptly to all head office information requests.
ABOUT YOU

Essential
  • Proven experience in delivering high-quality facilities management services in a customer-centric, complex environment.
  • Strong technical background with practical experience in both hard and soft services.
  • Excellent communication skills to engage effectively with colleagues and external stakeholders.
  • Knowledge of health and safety regulations and best practices relevant to site management.
  • IOSH qualification.
  • Flexibility and adaptability to evolving business needs.
  • Ability to deliver value while operating within budget constraints.
  • Experience in managing facilities across multiple sites.
Desirable
  • Background in retail or leisure sectors.
  • BIFM qualification or equivalent.
  • NEBOSH certification.
