About the Role

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our Client Facing Concierge Team within the Conveyancing Department at Reed. This role is integral to providing exceptional customer service and administrative support to our clients.

Key Responsibilities
  • Client Communication: Communicate with clients to ensure the highest level of customer service at all times.
  • File Management: Set up client files within the case management system and produce initial client documentation.
  • Due Diligence: Carry out due diligence for both solicitor and client, and request necessary documentation for transactions.
  • Document Management: Ensure timely return of documents from clients and work providers, following up as needed to progress transactions.
  • Administrative Support: Log correspondence to the correct files/matters and enter data accurately into the case management system.
  • Task Management: Complete tasks on the case management system and perform general administrative duties.
  • Panel Management: Update all panel members/stakeholders within the business and referral businesses.
  • Document Drafting: Draft sale contracts and re-mortgage documentation as required and deal with lenders on sale and purchase matters.
  • Statement Preparation: Draft completion statements and meet all key SLAs and KPIs within the department/referrers' requirements.
  • Compliance: Act as a role model in file management, actions, and behaviour, ensuring compliance with all company policies and procedures.
Requirements
  • Attention to Detail: Ability to work to deadlines with real attention to detail.
  • Technical Skills: Computer literate with competent use of MS Office and case management systems.
  • Workload Management: Ability to prioritize workloads and adhere to/surpass set targets.
  • Teamwork: Ability to work independently and as part of a team.
  • Communication Skills: Excellent telephone manner, client care, and enthusiasm.
  • Language Skills: Strong communication skills, both oral and written.
  • Experience: Minimum 1 year's experience in an administrative role, client care/customer service environment, or conveyancing.
  • Language Proficiency: Good standard of spoken and written English.
