Job Title: Facilities Operations Assistant
Job Summary: We are seeking a highly organized and customer-focused Facilities Operations Assistant to join our team at Goodman Masson. As a key member of our facilities team, you will be responsible for providing exceptional support to our clients and colleagues.
Key Responsibilities:
- Provide administrative support to the facilities team, including managing incoming and outgoing deliveries, distributing internal post, and maintaining office security.
- Run through set-up of AV equipment and Zoom function in internal event spaces and provide office tours upon request.
- Manage the Reception and Facilities phone and email inboxes, responding in a timely manner and communicating office-related updates.
- Carry out daily office health & safety walkarounds and complete cleaning inspections, requesting cleaning support as needed.
- Log building faults and maintenance issues with the landlord and book callouts with contractors, escorting contractors around the building.
- Order office supplies and keep inventory of stock, raising purchase orders and keeping a log of all office expenditure.
- Support with and present at onsite internal events and social activities, which may occasionally be out of office hours (prior notice will be given).
- Manage HR and IT requests, such as reasonable adjustments requests, booking travel, arranging courier delivery, and purchasing equipment.
- Support the Facilities Officer and Operations Manager with ad hoc requests.
Requirements:
- Experience in a similar role.
- Excellent customer service skills.
- Good time-management and excellent organizational skills.
- Strong verbal and written communication.
