Job Description
The primary purpose of this role is to provide administrative support to the Secretarial team and the wider business. Key responsibilities include:
  • Opening office each morning and screening night service messages
  • Checking, logging, and distributing incoming ship's mail items
  • Processing outgoing courier shipment requests and preparing associated paperwork
  • Processing ship's mail despatches and associated courier requirements
  • Circulating weekly ship's mail despatch lists
  • Monitoring stock and ordering FedEx packaging
  • Administering switchboard everyday business calls and forwarding to relevant departments
  • Providing reception for checking in guests and clients
  • Processing requests for visitor Wi-Fi password
  • Processing catering and transportation requests
  • Updating catering schedule and distributing updates to the catering team
  • Updating EL-VIS system with details of forthcoming office visits
  • Updating INFORUM Employee Photos site
  • Providing digital and hardcopy photos for visa applications
  • Providing front desk/switchboard cover for Scotia House when required
  • Supporting process mapping of facilities processes
  • Supporting other administrative tasks like ordering food and raising purchase requisitions
  • Supporting facility manager with additional administrative tasks

Candidate Requirements
To be successful in this role, candidates must possess:
  • Computer literacy
  • Standard Grade Maths or English or grade 3 or above
  • Ability to prioritize tasks
  • Excellent customer service skills
  • Good communication skills
  • Great multitasking abilities
