Job Summary

Menzies Aviation is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will be responsible for providing administrative support to our operations team, ensuring the smooth day-to-day functioning of our business.

Key Responsibilities

  • Collect and report daily sales and stock figures to suppliers, ensuring accuracy and timeliness.
  • Produce daily and periodic reports, maintaining flight and sales volume data.
  • Arrange visitor passes and communicate effectively with suppliers and customers.
  • Meet and escort site visitors, delivering site induction presentations.
  • Assist in recording HSE incidents and reviewing daily vehicle log sheets.
  • Manage flight schedules and receive and record customer fuel requests.
  • Investigate and action customer queries, complete site purchase requests, and reconcile month-end losses/gains.
  • Update operational activity trackers, create weekly flight data, and complete HSSE reports.
  • Assist with monthly pay and overtime, and archive sales data.
  • Perform ad-hoc tasks, including updating manuals, managing petty cash, and recording annual leave requests.

Requirements

  • Health and safety awareness and respect is essential.
  • Must have a checkable five-year employment history.
  • High standard of numeracy and literacy skills required.
  • Demonstrate high levels of awareness in relation to Health, Safety, Security, and the Environment.
