About the Role

We are seeking a highly proactive and exceptionally organised Personal Assistant to join our fast-paced team, providing dedicated support to the executives within the agency's leadership team.

Key Responsibilities:

  • Managing calendars and scheduling meetings with stakeholders and clients.
  • Preparing documents, reports, and presentations as required by the executives.
  • Building relationships with client/media owner PAs to facilitate seamless collaboration.
  • Taking minutes of Board meetings to ensure accurate records.
  • Monthly completion of expenses for executives, ensuring timely reimbursement.
  • Providing printing, photocopying, and document preparation services as needed.

Coordination Team Support:

  • Working closely with the coordination team on agency projects, ensuring effective communication and project delivery.
  • Providing holiday cover for the coordination team, ensuring continuity and minimal disruption.

Travel Coordination:

  • Arranging travel, accommodation, and itineraries for executives, prioritising efficiency and cost-effectiveness.
  • Ensuring travel documents and arrangements are accurate and well-organised.

Task Management:

  • Maintaining task lists and prioritising workload for executives, ensuring timely completion of tasks.
  • Keeping on top of important deadlines and follow-ups, guaranteeing smooth project execution.

Event Planning:

  • Supporting the organisation of agency events, meetings, and social gatherings, promoting a positive company culture.
  • Coordinating logistics, including venues, catering, and attendees, ensuring seamless event execution.

  • Handling sensitive information with the utmost confidentiality, upholding the highest standards of professionalism.
