Are you a highly organized and detail-oriented individual with a passion for administration?

We are seeking an experienced Secretary to join our team at Reed, supporting the Governing Body in their administrative needs.

This is a part-time, permanent position, requiring 30 hours of work per week, including attendance at meetings that may take place in the evenings or on weekends.

The successful candidate will be responsible for providing efficient administrative services to the Governing Body, including organizing meetings, preparing agendas and supporting papers, and maintaining accurate records.

To be successful in this role, you will need to have a minimum of 2 years' experience in a secretarial role, a degree in a relevant discipline, and advanced IT skills in Microsoft Office.

You will also need to have a full current driving license and access to a car for official business purposes.

As a Secretary to the Governing Body, you will be responsible for:

  • Ensuring that Governing Body and committee meeting procedures are followed in accordance with the Articles and Instrument of Government and Standing Orders.
  • Attending meetings of the Governing Body or any meeting of any committee established by the Governing Body, except where a direct conflict of interest exists.
  • Drafting agendas and organizing supporting reports and briefing papers, and liaising with staff or Governors who may be required to prepare papers for Governing Body meetings.
  • Recording minutes of all meetings attended, preparing draft minutes, and presenting to the Chairman or Committee Chairs and the Chief Executive within specified timescales.
  • Acting as correspondent for the Governing Body as directed by the Chairman and Governing Body.
  • Advising the Chairman and Governing Body on appointments and removals to/from the Governing Body and committees in accordance with the provisions of the statutory Instrument of Government.
  • Designing, developing, and delivering an effective induction program for new Governors.
  • Assisting the Chairman and Committee Chairs in carrying out an annual self-assessment of the Governing Body and its committees.
  • Preparing Annual Reports for all Governing Body Committees and presenting to Committee Chairs.
  • Publishing Governing Body meeting papers and Governance documents.
  • Maintaining a current register of the financial and personal interests of Governors and advising Governors on declarations of interest.
