Job Title: Cluster Facilities Manager

We are seeking a highly skilled and experienced Cluster Facilities Manager to join our team at Robert Walters Operations Limited. As a key member of our facilities management team, you will be responsible for ensuring the smooth operation of our properties across the cluster.

Main Responsibilities:
  • Oversee the maintenance and upkeep of properties, including building fabric, hard and soft services, site security, and health and safety.
  • Coordinate with specialist contractors to ensure all work is carried out to the expected standard, minimizing downtime and operational risk.
  • Support site-related projects, including fit-out and décor of common areas and washrooms, as well as general repairs.
  • Manage service charge budgets and ensure sites are operated within budget.
Customer Service:
  • Act as the primary point of contact for Centre Managers, addressing and resolving building, building services, and FM-related issues.
  • Deliver high levels of customer service, ensuring all Hard and Soft Service Facilities and Maintenance issues are acknowledged and acted upon within appropriate timelines.
Estate Management:
  • Maintain properties to a high standard, ensuring they are clean, safe, secure, compliant, and attractive to customers.
  • Ensure all planned and reactive maintenance is undertaken in line with agreed specifications, frequencies, timelines, and statutory requirements.
  • Conduct regular premises and works inspections, identifying areas of concern or snagging items.
Record Keeping and Compliance:
  • Manage the Elogbooks CAFM system to ensure site records are current.
  • Maintain all site documents, including Operation and Maintenance manuals, Health & Safety files, asset registers, PPM calendars, logbooks, firebox, drawings/schematics, and certifications.
  • Provide regular updates to the Centre Manager and Head of Facilities, including relevant management reports on SLA performance.
Finance:
  • Manage expenditure and procurement for all facilities and building management-related costs across the sites.
  • Ensure sites are managed within budget, raising necessary purchase orders, approving invoices, and following the correct procedures within agreed authorization levels.
