Job Summary

Midlands Partnership NHS Foundation Trust is seeking a highly organized and detail-oriented Business Support Assistant to join our team. As a Business Support Assistant, you will provide administrative support to the Business Support Officer, ensuring compliance in all areas of performance.

Main Duties of the Job

The post-holder will be part of a team responsible for providing a quality administrative service to the Adult Community Mental Health Services, supporting the Business Support Officer in the monitoring of performance against the Trust's key performance indicators. To meet the needs of the service, the post holder may be required to work in other administrative areas as appropriate, as directed by the line manager.

Job Responsibilities

1. Provide administrative support to the Business Support Officer in the retrieval of information in relation to key performance indicators.

2. Accurately maintain and keep secure patient health and staff records/systems in line with policy and standard operating procedure, to ensure data quality, confidentiality and compliance with the current Data Protection Act.

3. Provide a full range of office support systems including photo-copying and collating and inputting data in a timely manner into both manual and electronic systems.

4. Interpret simple spreadsheets, have a good eye for detail and be able to spot data discrepancies.

5. Prioritise own workload and meet deadlines in order to meet the requirements of the job.

6. Open, sort and distribute post (incoming and outgoing), faxes, memos and other communications.

7. Be proficient in the use of Microsoft Office programmes including Word, Excel, PowerPoint, and Outlook.

8. Handle incoming and outgoing telephone calls in a polite and efficient manner, referring telephone queries to a more senior colleague where appropriate.

9. Assist the Business Support Officer in the general preparation of meeting paperwork and support minute taking as and when required.

10. Support with regular stock checks and ordering/receipt of office supplies.

Person Specification

Essential

  • Experience of Microsoft Office
  • NVQ Level 2 in Business Administration (or equivalent level of administrative experience)
  • RSA II or equivalent experience

Desirable

  • Experience of minute taking
  • Experience of using RiO or a patient clinical system

Skills

Essential

  • Ability to produce documents and reports to a high standard
  • Demonstrate effective verbal and written communication

Desirable

  • Ability to prioritise workload in order to meet conflicting demands and deadlines
  • Excellent telephone skills
