About the Role

We are seeking a highly skilled and experienced Personal Assistant to join our team at the Grand Lodge of Mark Master Masons. As a key member of our executive team, you will provide confidential, efficient, and comprehensive secretarial support to our Grand Secretary.

Key Responsibilities
  • Prepare briefing packs for executive/board/committee meetings and conferences
  • Manage the Grand Secretary's personal email account and filter out messages best directed to other departments
  • Manage his calendar and schedule meetings accordingly
  • Support the executive secretariat team in preparing agendas and writing minutes
  • Assist the Travel and Events Secretary in handling itineraries
  • Be the first point of contact for all executives/boards/committees
  • Assist in preparing reports and PowerPoint presentations and taking minutes in meetings
  • Assist in arranging events
  • General office administration
Requirements
  • Previous work experience in similar roles with excellent verbal and written communication skills
  • Strong relationship building skills and ability to work positively with key stakeholders
  • Flexible approach to work with ownership and responsibility for work and performance
  • Excellent IT skills and ability to bring modern office working practices to the organisation
  • Confident, well-organised, and able to think on your feet with strong administrative skills
