Job Summary

The National Theatre is seeking an experienced Office Administrator & EA to Managing Director to join our NTP Department on an 18-month fixed-term contract. As a key member of our team, you will be responsible for ensuring the smooth operation of our office, providing administrative support to the Managing Director, and contributing to the success of our production department.

Key Responsibilities

  • Office Management
    • Oversee the daily routine of the office, ensuring efficient operations and effective use of resources.
    • Maintain office contact databases and filing systems, ensuring accurate and up-to-date information.
    • Coordinate courier deliveries and transport, ensuring timely and secure delivery of materials.
  • Administrative Support
    • Provide administrative support to the Managing Director, including diary management, arranging meetings and conference calls, and processing expenses and credit card reconciliations.
    • Support the management of office calendars and shared diaries, ensuring seamless communication and coordination.
    • Attend NTP meetings and take notes, as required.
  • Communication and Liaison
    • Deal with enquiries from the general public and NT teams, responding promptly and professionally.
    • Liaise with the NT Archive, ensuring they receive necessary materials and research support.
    • Work with IT to oversee equipment and resolve related issues.
  • Research and Ordering
    • Carry out research and order research materials, such as scripts of interest, as required.
    • Maintain the office's stock of stationery and supplies, including tea, coffee, and milk.
  • Travel and Expenses
    • Organize travel for the Managing Director, including booking flights and hotels, arranging per diems, and ensuring visa needs are met.
    • Process expenses and credit card reconciliations for the Managing Director.
  • Additional Responsibilities
    • Perform additional hours, including some evenings and weekends, as required to fulfill the role's responsibilities.
    • Carry out other duties as reasonably required by the Managing Director or NTP Department.

Requirements

  • Experience and Skills
    • Proven experience in office management and administration, including diary management, organizing travel, and processing invoices.
    • Excellent organizational skills, with experience of managing immediate and long-term deadlines.
    • Ability to work effectively as part of a team and on own initiative, and to work calmly under time pressure.
    • Computer literacy, including knowledge of Word, Excel, and Outlook.
    • Experience of handling confidential information with discretion.
  • Personal Qualities
    • Helpful and approachable, with a willingness to be a first point of contact for the NTP office.
    • Interest in and understanding of the theatre sector and the National Theatre.
