About the Role:

We are seeking a highly skilled and experienced Patient Administration Officer/Medical Secretary to join our team at GenesisCare UK. As a key member of our administrative team, you will play a vital role in ensuring the smooth operation of our cancer care centre.

Key Responsibilities:

  • Manage all necessary administrative tasks, including scheduling appointments, handling correspondence, and maintaining accurate records.
  • Provide comprehensive secretarial assistance to consultants, including typing clinic letters, preparing reports, and coordinating with patients and carers.
  • Liaise with patients, carers, and healthcare professionals to ensure seamless communication and coordination of care.
  • Process radiotherapy referrals, manage diaries and schedules, and coordinate outside medical records and imaging.
  • Act as a central point of contact for all new referrals, clinic appointments, and international patients.
  • Liaise with insurance companies to verify coverage and coordinate with consultants, secretaries, and nursing staff.
  • Coordinate and provide administrative support to the relevant teams to ensure all necessary paperwork and clinical information is available.
  • Update on all enquiries regarding patients' care and/or treatment in a timely manner.
  • Plan and organise centre multi-disciplinary team meetings/huddles.
  • Action day-to-day issues, ensuring resolution and escalating serious issues to management as appropriate.

Requirements:

  • Excellent verbal and written communication skills.
  • Previous experience managing a busy reception area and experience in a customer-focused environment.
  • Strong relationship-building skills and experience working in a diverse range of administrative roles.
  • Evidence of an empathetic and holistic approach to patient care and experience resolving complaints satisfactorily.
  • Significant experience of working as a secretary and/or in a clerical environment, with experience of managing diaries and schedules.
  • Experience of referral triaging and booking processes, with excellent communication and organisational skills.
  • Professional telephone manner and ability to work to tight and conflicting deadlines.
  • Experience of using Mosaic IT package an advantage, with proficiency in all MS office packages, including Word, Excel, and Outlook.
  • Previously worked within the healthcare sector preferred, with RSA audio typing and typing or equivalent keyboard skills.
  • Medical terminology and ability to demonstrate experience of working with Microsoft office and databases.
