Key Responsibilities

  • The successful candidate will be tasked with the precise and prompt handling of patient inquiries.
  • Collaborate effectively with the team to deliver a seamless clinical coding service and provide essential administrative support to the clinical staff.
  • Review medical records, discharge summaries, and other relevant data to extract vital clinical information pertinent to patient care.
  • Manage call handling, process referrals, respond to inquiries, schedule appointments, and perform general office tasks.
  • Ensure accurate data entry into Clinical Systems.

About Our Practice

Our team consists of four partners, including three General Practitioners and one Advanced Nurse Practitioner. Additionally, we have five salaried GPs and a remarkable Nursing team comprising ANPs, PAs, Nurses, and HCAs. Our large Administration Team is supported by an effective management structure.

We emphasize teamwork and are dedicated to nurturing our staff to help them achieve their full potential.

Job Duties

  • Schedule appointments, provide test results, arrange ambulance services, manage home visit requests, and handle general inquiries.
  • Oversee all referrals from the clinical team, ensuring a timely processing of these requests.
  • Evaluate systems to enhance the efficiency of administrative procedures related to your responsibilities.
  • Ensure precise data entry into clinical systems.
  • Access and review patient case notes, which may contain sensitive content.
  • Code complex specialties, including episodes of care for deceased patients.
  • Identify inadequate documentation and communicate with relevant healthcare professionals to address this.

Provide reception support on a rota basis, including registering new patients, greeting visitors, and responding to clinician requests during surgery hours.

Collect payments from patients for non-NHS services.

Summarize patient notes and scan letters, ensuring appropriate actions are taken, including coding, filing, and medication requests.

Assist with Quality and Outcomes Framework (QOF) work and any other initiatives implemented by the practice.

Candidate Profile

Qualifications

Essential

  • Minimum of four GCSEs at grade C or above or equivalent experience.

Desirable

  • European Computer Driving Licence (ECDL) RSA Level 2/3.

Knowledge and Skills

Essential

  • Understanding of confidentiality protocols. Proficient in basic Microsoft applications such as Word and Excel. Strong numeracy and literacy skills. Excellent interpersonal communication skills, both written and verbal. Capability to work independently and prioritize workload effectively.

  • Experience in general office duties and customer care. Proven ability to make decisions independently and collaborate with colleagues.

Desirable

  • Familiarity with coding practices, primary care experience, and previous work in a healthcare environment.
