Aftersales Service Coordinator Job Description

We are seeking a highly organized and detail-oriented Aftersales Service Coordinator to join our team at Hales Group Limited. As an essential component of our after-sales team, you will be responsible for maintaining relationships with existing customers and ensuring their needs are met.

Key Responsibilities:
  • Maintain Customer Relationships: Build and maintain strong relationships with existing customers to ensure their needs are met and exceeded.
  • Process Customer Enquiries: Process customer enquiries via phone or email for spares, ensuring timely and accurate responses.
  • End-to-End Sales Process: Own the end-to-end sales process for spares, including liaising with customers and suppliers to ensure seamless transactions.
  • Request Quotes and Process Purchases: Request quotes from suppliers and process purchases to the best price and quality, ensuring cost-effectiveness and efficiency.
  • Produce Quotations and Follow-ups: Produce quotations and follow up with customers to ensure timely and accurate responses.
  • Convert Enquiries to Sales Orders: Convert customer enquiries into sales orders, ensuring accurate and timely processing.
  • Communicate with Operations: Communicate effectively with operations in all departments to ensure seamless coordination and execution.
  • Actively Promote Spares Sales: Actively promote spares sales for all contracts, identifying opportunities for growth and expansion.
  • Issue Priced Recommended Critical Spares List: Issue priced recommended critical spares lists for all new and recent contracts, ensuring accurate and timely processing.
  • Data Entry on MRP System: Perform data entry on the MRP system, ensuring accurate and timely updates.
  • Proactively Source New Business: Proactively source new business opportunities, identifying potential customers and developing strategies for growth and expansion.
Requirements:
  • Experience: Experience in a similar role with manufacturing/engineering knowledge.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to communicate effectively with customers and internal stakeholders.
  • Interpersonal Skills: Strong interpersonal and customer service skills, with the ability to build and maintain strong relationships with customers.
  • Organizational Skills: Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • IT Skills: Proficiency in Microsoft Office, including Word, Excel, and email, as well as familiarity with MRP systems.
  • Time Management: Exceptional time management skills, with the ability to meet critical deadlines and prioritize tasks effectively.
