Job Summary

As a key member of the OEC team, the Procurement Specialist will play a critical role in facilitating the procurement of goods and services to support the company's international operations. This position will be responsible for supporting the day-to-day activities of the procurement process, including vendor sourcing, negotiating pricing and service guarantees, and tracking receipts. The successful candidate will maintain accurate records of agreements and approvals, ensuring that purchases remain within budget and on schedule.

Key Responsibilities
  • In collaboration with the business and legal teams, negotiate the best possible vendor pricing, service guarantees, and terms and conditions.
  • Assist with the sourcing of new vendors and suppliers, ensuring that they meet the company's quality and compliance standards.
  • Maintain and renew existing services/contracts to ensure that the company has the best cost for services and that they align with the end-user's needs.
  • Manage documentation, including agreements and notes, within the company's internal systems, ensuring that maintenance and audit requirements are met.
  • Work closely with departments to evaluate software and licensing or service needs based on requirements, eliminating redundancy and controlling costs.
  • Assist in the set-up and maintenance of user access rights and support licensing and software assignments in the system, including vendor portals.
  • Evaluate IT purchases and recurring expenses to eliminate duplication and control costs, working with Finance, Accounting, and the Legal departments to ensure that policies and ISO requirements are met.
  • Ensure that Investment Budget guidelines and purchasing Policy are followed, and track all purchase requisitions via the IT ticketing system to ensure adherence to company policy.
  • Audit requisitions for appropriate approval and account numbers.
  • Work closely with receiving departments to ensure that proper supplies have arrived, tracing delinquent arrivals from purchase orders and returns.
  • Validate and ensure payments, working with the Accounts Payable team.
Requirements
  • At least 12-18 months of purchasing experience in a technology environment.
  • Vendor management experience, with the ability to build relationships with local and international vendor partners.
  • A general understanding and ability to review and understand standard legal agreements (Statements of Work, Order Forms, or Licensing agreements).
  • Strong communication/written and interpersonal skills.
  • Fluent in written and spoken English.
  • Technical aptitude with proficiency in MS Office (including spreadsheet creation and maintenance).
  • Process-oriented with excellent organizational skills, ability to prioritize multiple projects effectively and within deadlines.
  • Ability to work independently.
  • Demonstrated self-starter, able to learn new skills quickly.
  • Good problem-solving and decision-making skills.
  • Performs within established ethical standards and business codes of conduct.
  • General accounting understanding and business acumen.
