About the Role

We are seeking a highly motivated and organized individual to join our team as a Medical Secretary at Diamond Health Group. As a Medical Secretary, you will provide administrative support to our GP Partners, clinical team, and act as a key point of contact for external agencies.

Key Responsibilities

  • Provide efficient audio, copy typing, and word processing services for GPs and health professionals as required.
  • Utilize e-referrals and maintain an up-to-date and comprehensive knowledge of referral destinations and specialist clinics.
  • Deal with clinician queries, chasing replies or test results from hospitals, finding a specialty doctor or hospital, sending referrals to another hospital/consultant as needed.
  • Process all referrals and other documents, including creating referrals via Emis, printing and posting paperwork to patients, and dealing with phone calls from patients regarding queries or mislaid paperwork.
  • Process referrals from patient clinical documents without the need for additional clinical input.
  • Have sufficient knowledge to create onward referrals with minimal input from clinicians.
  • Be the first point of contact for hospital queries, such as emails and calls from hospital secretaries.
  • Deal with queries from patients regarding referrals, including chasing or following up with clinicians if referrals have not been made.
  • Prioritize referrals based on clinical need and urgency.
  • Process and record all incoming requests relating to private fee work, including insurance, DWP, DVLA, requests for medical reports, and requests by patients for private letters.
  • Record and track the progress of private fee requests on a spreadsheet.
  • Calculate fees based on pre-agreed practice costs and charges and send invoices to patients and third-party companies for private fee work.
  • Photocopy and print medical records to support insurance applications.
  • Complete certain sections of insurance reports before passing to the clinician for completion.
  • Utilize the IGPR system for medical report and requests.
  • Complete sections of reports based on knowledge of reports and what information is needed.
  • Complete pre-payment forms and check for payments with the Practice Manager.
  • Deal with queries regarding private fee work, including speaking with patients, insurance companies, and any other outside agencies.
  • Process and record all Subject Access Requests, including utilizing the IGPR system.
  • Arrange for required records to be available for the GP to redact and check when required.
  • Once the records are redacted, arrange for them to be made available to the patient or third party that made the original request.
