We are seeking an experienced and skilled Administrative Operations Specialist to join our team at Herrington Carmichael LLP.

As a key member of our administrative team, you will play a vital role in ensuring the smooth day-to-day operations of our Real Estate or Employment department. You will work closely with the Head of Department (HOD) to provide administrative support and guidance to ensure that all processes and procedures are followed.

The Role:

  • Provide exceptional administrative support to the HOD and team members, ensuring seamless organization and effective communication.
  • Prepare agendas, minutes, and data for key meetings, guaranteeing that all stakeholders are informed and ready to take action.
  • Handle diary management for the HOD, scheduling appointments and managing their time effectively.
  • Process client complaints efficiently and professionally, ensuring timely resolutions.
  • Gather up-to-date billing information from Fee Earners to ensure accurate and timely billing cycles.
  • Collaborate with the Accounts team on forecasts, billing, and financial reporting to support department goals.
  • Lead Fee Earner admin meetings, driving improvements and reporting feedback to the HOD.
  • Take charge of monthly business development meetings, working with the HOD and Business Relationships Manager to boost department growth.
  • Assist in reducing aged debt by finding solutions and improving financial performance.
  • Conduct regular audits to ensure compliance with internal and external standards, suggesting process enhancements.
  • Support the HOD with department-wide initiatives and lead on special projects as needed.

About You:

To succeed in this role, you will have excellent communication and organizational skills, with a strong attention to detail and ability to maintain confidentiality. You will be highly motivated, proactive, and eager to learn and grow within our dynamic team.
