Job Title: Temporary Operations Assistant

Recruitable Staffing Solutions Limited is seeking a skilled Temporary Operations Assistant to join their team in a dynamic environment. This is a fantastic opportunity for someone with experience in freight forwarding and logistics to work in a supportive and professional environment.

Key Details:
  • Contract Duration: 8 months (either fixed-term or temporary ongoing, depending on the candidate's preference and business needs).
  • Role Purpose:

The Temporary Operations Assistant will be responsible for managing imports and exports of worldwide shipments and cross-trade consignments. The role is critical in ensuring that all activities are performed to maximize customer satisfaction and comply with export and other shipping regulations.

Key Responsibilities:
  • Provide excellent customer service to the on-site client.
  • Prepare and manage shipping and transport quotations.
  • Coordinate with hauliers, forwarders, dispatch depots, and shipping lines for booking dispatches.
  • Prepare export documentation, including invoices, packing lists, and dispatch notes.
  • Enter bookings into bespoke shipment software and manage specific projects.
  • Expedite shipments, resolve queries, and ensure all activities adhere to compliance standards.
  • Process supplier and customer invoices accurately in the shipment software.
  • Handle telephone inquiries, expedite orders, and manage both inter-company and external queries.
  • Report and escalate issues to the Key Account Manager as required.
Key Requirements:
  • Experience in an Operations Assistant role within a freight forwarding environment.
  • Knowledge of shipping methods, terminology, and Incoterms 2020.
  • Experience with all modes of transport, including export and import, and familiarity with customs procedures.
  • Strong customer service experience and intermediate proficiency in MS Office programs.
  • Excellent communication, numeracy, and administrative skills with a high level of attention to detail.
  • Ability to manage time effectively, prioritize workloads, and work both independently and as part of a team.
