Job Overview

Purpose of the Role: The primary objective of this position is to deliver extensive administrative and secretarial assistance to multidisciplinary teams, wards, or departments, including designated medical personnel and junior medical staff. The role involves serving as the initial point of contact for the respective team, ward, or department, which may encompass responsibilities such as welcoming visitors, addressing initial inquiries, and directing phone calls. The ideal candidate will be highly driven, adaptable, and possess a diverse skill set along with exceptional organizational abilities. Proficiency in Microsoft Office applications, particularly Word and Excel, is essential.

The post holder will adhere to high standards and will be tasked with collecting personal information from individuals and entering it into the electronic patient record system. Meeting deadlines, compiling data, and upholding standards related to administrative functions are crucial aspects of this role. The ability to collaborate effectively within a team is vital. Additionally, the role may require providing guidance to junior administrators or apprentices, managing diaries, coordinating meetings, taking formal minutes, and maintaining accurate records using the latest templates. The post holder will manage their own workload with guidance available from their manager as needed.

Key Responsibilities

Under the direction of the lead administrator, the successful applicant will integrate into the existing administrative team, which comprises several Band 3 and Band 4 administrators.

The candidate must thrive in a dynamic setting, exhibit strong communication skills, and demonstrate proficiency in MS Office applications. A composed and approachable demeanor is expected, as many service users will reach out to the office, some of whom may present challenging situations due to ongoing mental health concerns.

Responsibilities include managing clinicians' schedules, booking appointments, and handling phone inquiries.

Responsibilities Overview

General Responsibilities

- Engage with a diverse range of stakeholders, both internal and external, including medical staff, multidisciplinary teams, service users, carers, health and social care teams, and community organizations.

- Serve as the first point of contact for visitors and inquiries, including telephone communications.

- Utilize effective written and verbal communication skills to connect with various individuals, employing tact and persuasive abilities to overcome potential barriers to understanding.

- Exchange routine and complex information with patients, staff, and carers regarding appointments and meetings.

- Ensure effective communication within a multidisciplinary environment, facilitating administrative processes for team meetings.

- Manage incoming and outgoing mail, ensuring appropriate action is taken on high-priority items.

- Handle telephone interactions with distressed service users in a supportive and empathetic manner.

- Exercise judgment in addressing patient inquiries, analyzing and resolving non-clinical issues, and escalating matters to the Lead Clinical Services Administrator as necessary.

- Coordinate meetings and appointments for team members, managing diary conflicts and competing priorities.

- Prepare patient correspondence and manage telephone and face-to-face inquiries.

- Order necessary supplies for the team and may be responsible for handling patient funds securely.

- Support the onboarding of new staff members as required.

- Produce confidential correspondence regularly.

- Maintain an efficient electronic filing system for easy access to information.

- Take and distribute formal minutes as needed.

- Perform clerical duties such as photocopying and scanning.

- Provide coverage for colleagues when necessary.

- Plan and prioritize workload to meet various deadlines.

- Assist patients with non-clinical advice or information during incidental contact.

- Undertake other tasks that align with the broad purpose and level of the position.

Qualifications and Skills Required

Essential Criteria

  • NVQ3/QCF in administration or equivalent experience.
  • Ability to perform under pressure.
  • Excellent verbal and written communication skills.
  • Strong planning and prioritization abilities.
  • Proficient IT skills, particularly in Word, Excel, and PowerPoint.
