We are seeking a highly organized and communicative Administrative Support Officer to join our team at Avon & Wiltshire Mental Health Partnership NHS Trust. As an Administrative Support Officer, you will provide comprehensive administrative support to our clinical teams, ensuring the smooth operation of our services.
Key Responsibilities- Liaise with a wide range of stakeholders, including medical staff, multidisciplinary teams, service users, and external agencies.
- Utilize excellent communication skills to connect with people from diverse backgrounds, requiring tact and persuasive skills when necessary.
- Exchange verbal and written information with patients, staff, and carers regarding appointments, admissions, and meetings.
- Work within a multi-disciplinary environment, ensuring effective communication with team members.
- Manage both telephone and face-to-face contacts with distressed service users in a supportive and empathetic manner.
- Exercise judgment when dealing with patient enquiries, analyze and resolve non-clinical patient problems, and escalate issues to the Lead Clinical Services Administrator as necessary.
- Arrange meetings and appointments for team members, type patient reports and correspondence, and input accurate and up-to-date patient data onto the electronic patient system.
- Maintain an efficient and effective electronic filing system, Internet, Intranet, and patient records to access and extract information as needed.
- Take and distribute formal minutes and meeting notes as necessary.
- Clerical duties, including photocopying, scanning, and uploading.
- Provide cover for colleagues when necessary and plan own workload to ensure weekly, monthly, quarterly, and annual tasks are met.
- ECDL/Diploma in Admin/NVQ qualifications (or equivalent competence).
- Experience of working in general administration.
- Experience of working in a team and ability to organize and maintain a busy environment.
- Good IT skills and excellent communication skills.
- Ability to take and convey clear messages, work under pressure, and plan and prioritize own workload.
