Contract Administrator

CBW Staffing Solutions is seeking a Contract Administrator to join our team and support one of our key clients in Glasgow.
This role involves managing contracts, ensuring smooth operations, and providing administrative support within the Facilities Management (FM) sector.
Key Responsibilities:
- Prepare and submit quotes for client projects.
- Process purchase orders and manage orders for engineers and subcontractors.
- Handle all paperwork related to monthly billing, ensuring accuracy and timeliness.
- Oversee work-in-progress (WIP) for the contract portfolio, generating invoices promptly.
- Compile month-end billing reports, including sales invoices and WIP closure.
- Maintain accurate and up-to-date client files.
- Process timesheets, job sheets, and expense reports weekly.
- Produce monthly payroll reports, encompassing labor costs, on-call hours, and expenses.
- Manage the engineer on-call rota effectively.
- Maintain electronic logbooks (E-log books) for planned preventative maintenance (PPM) scheduling.
- Communicate effectively with both internal and external stakeholders to optimize contract performance.
- Ensure all documentation from subcontractors adheres to health and safety regulations and company policies.
Requirements:
- Proven experience as a Contract Administrator or in a similar role.
- Experience working in a fast-paced environment with multiple contracts.
- Familiarity with CAFM systems and software.
- Strong administrative skills and attention to detail.
- Proficiency in IT applications.
