Position Overview

Are you an enthusiastic and skilled professional eager to contribute significantly within the real estate consultancy domain? Energi People is on the lookout for a proficient Administrative Coordinator to enhance our vibrant regional team.

In the role of Administrative Coordinator, you will deliver essential administrative assistance at the Executive/Senior Associate level within our Regional Hubs. Your duties will encompass generating high-quality documents and reports, managing various tasks, and providing daily support to your assigned Executives/Senior Associates. You will be instrumental in facilitating seamless operations within your Regional Support Hub, working collaboratively with team members to meet deadlines and ensure outstanding client service.

Core Responsibilities

  • Manage calendars, process reimbursements, arrange travel, and handle miscellaneous tasks for Executives/Senior Associates.
  • Create, modify, and troubleshoot documents/reports, ensuring they adhere to high standards and client branding guidelines.
  • Oversee the task lifecycle, ensuring timely completion and compliance with service level agreements.
  • Deliver exceptional service to fee earners, assist with task submissions, and provide guidance as necessary.
  • Keep fee earners informed about task progress and deadline management.
  • Proofread documents, manage version control, and maintain document templates.
  • Collaborate with operational teams on various initiatives, support digital transformation efforts, and propose service enhancements.

Required Skills and Qualifications

  • Prior experience in a comparable professional services position, preferably within the real estate sector.
  • Proficient in Office 365, especially Microsoft Word, Excel, and PowerPoint; familiarity with document management systems (SharePoint is advantageous) and dictation/workflow tools.
  • Exceptional communication skills and meticulous attention to detail.
  • Strong capability to juggle multiple tasks, meet deadlines, and manage key performance indicators.
  • Friendly, approachable demeanor with a commitment to delivering excellent client service.
  • Collaborative mindset, demonstrating the ability to embody company values.
  • Fast and accurate typing skills; Microsoft Office Specialist certification is a plus.
