Key Responsibilities

:
  • Delivering comprehensive administrative and secretarial support to healthcare teams.
  • Effectively communicating with patients and their families regarding appointments and treatment options.
  • Managing workload independently while coordinating with the administrative team.
  • Providing secretarial assistance and audio typing services for medical professionals.
  • Attending meetings and documenting minutes as required.
  • Handling incoming and outgoing communications, addressing queries efficiently.
  • Assisting in the collection of statistics and information, ensuring tasks are monitored and completed as necessary.
  • Composing correspondence for clinicians and managers, and providing coverage for team members when needed.
  • Coordinating with external agencies, services, and other healthcare practices as required.
  • Managing telephone inquiries, processing referrals, and undertaking related responsibilities.

Information Management

:

Utilizing IT templates and mail merge techniques to generate letters efficiently.

Candidate Profile

:

Required Qualifications

  • NVQ level 3-4.
  • Prior experience in Medical Secretarial or Personal Assistant roles.
  • Proficiency in IT and familiarity with Microsoft Office applications.
  • Strong verbal and written communication skills.
  • Ability to work autonomously, under pressure, and collaboratively within a team.
  • High attention to confidentiality and detail.
  • Capability to manage challenging situations and engage with diverse groups.

Preferred Qualifications

  • Formal training in Customer Service.
  • Experience with SystmOne and NHS systems.
  • Working knowledge of medical terminology and digital dictation.
  • Professional telephone etiquette and audio typing skills.
  • Ability to accurately input and retrieve data in computerized systems.
