Job Description:

Key Responsibilities:

  • Manage Schedules and Appointments: Coordinate and manage the team's schedules and appointments to ensure seamless communication and productivity.
  • Handle Correspondence and Phone Calls: Respond to and manage incoming correspondence and phone calls in a professional and timely manner.
  • Organise Meetings and Take Minutes: Arrange and coordinate meetings, take accurate minutes, and distribute them to relevant parties.
  • Prepare Reports and Presentations: Assist in preparing reports and presentations to support the team's goals and objectives.
  • Assist with Administrative Tasks and Office Management: Provide administrative support to the team, including tasks such as data entry, filing, and office maintenance.
  • Liaise with Clients and Stakeholders: Communicate effectively with clients and stakeholders to ensure their needs are met and expectations are exceeded.

Requirements:

  • Proven Experience: A minimum of 1-2 years of experience as a Secretary or Personal Assistant.
  • Excellent Organisational and Time-Management Skills: Ability to prioritise tasks, manage multiple projects, and meet deadlines.
  • Strong Communication and Interpersonal Abilities: Excellent written and verbal communication skills, with the ability to build strong relationships with clients and colleagues.
  • Proficiency in MS Office and Other Relevant Software: Proficient in Microsoft Office and other relevant software applications.
  • Ability to Work Independently and as Part of a Team: Ability to work independently and as part of a team, with a strong sense of accountability and responsibility.
  • Discretion and Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.
