Position Overview

An excellent opportunity has emerged to become a vital member of the administrative team within the Same Day Emergency Care Unit (SDEC).

This position entails the preparation of patient documentation for those returning to the unit, along with the scanning and electronic filing of patient records into the computer system (CPD). Comprehensive training will be provided.

The responsibilities associated with this role will evolve over time, and there will be further opportunities for career advancement within the organization.

Key Responsibilities

  • Serve as a primary contact for inquiries, which may be received through various channels such as correspondence, telephone, email, or in-person from patients, visitors, staff, and other stakeholders. Provide general information as needed to patients, relatives, and staff.
  • Address routine issues and challenges that arise from interactions, making informed decisions regarding the appropriate escalation of such matters when necessary.
  • Perform fundamental administrative tasks, including the production and distribution of pre-prepared standard letters, handling incoming and outgoing mail, photocopying, and completing standard forms and returns. Ensure the collation of all pertinent patient records, such as case notes and investigation results, making them readily available for clinical staff as required, and maintain relevant filing systems.
  • May be tasked with typing or word processing routine correspondence and other relevant documents.
  • As needed, coordinate transportation arrangements for patients and ensure that follow-up appointments are scheduled prior to patient discharge.
  • Input data into relevant computerized databases and retrieve standard information from these databases on a regular and ad-hoc basis.

Qualifications, Knowledge, Training, and Experience

Essential

  • Educated to GCSE Level or equivalent, with a minimum of C in Maths and English or equivalent qualifications/demonstrable experience.
  • Proficient computer skills equivalent to RSA2, NVQ 2, or similar.

Desirable

  • Previous office or administrative experience within an NHS setting.
  • Experience handling confidential information.
