Position Overview

JOB TITLE: Executive Assistant SALARY: £33,982 - £35,770 LOCATION: Watford HOURS: Full-time WORKING PATTERN: Hybrid work model, requiring a minimum of three days per week at the office, with full-time attendance during the initial training phase.

Role Summary

The primary responsibility of this role is to deliver a proficient and responsive administrative, organizational, and logistical support service to the Managing Director and the Senior Leadership Team. This includes assisting in time management, prioritizing business objectives, and overseeing office administration.

Key Responsibilities

Collaborate with the broader team, working closely with the Business Support Manager and other executive support personnel. Manage diaries, including scheduling internal and external meetings for the Senior Leadership Team. Draft correspondence, prepare agendas, take minutes, and manage incoming communications. Welcome visitors of all levels and assist in managing external client relationships. Screen phone calls and inquiries, while performing administrative data processing tasks. Respond to routine requests and coordinate travel and accommodation arrangements. Utilize internal communication systems to access necessary information for specific tasks. Engage in personal development by pursuing formal and informal training opportunities. Support office management, including maintaining appropriate levels of office supplies and coordinating maintenance as needed.

Desired Skills and Experience

Exceptional communication skills with a professional and courteous telephone demeanor. Strong organizational abilities. Previous experience in an administrative or executive assistant role within a fast-paced environment, demonstrating discretion and sound judgment. Proficiency in diary management. Experience working effectively with senior management. Competence in Microsoft Office applications, including Word, Excel, and PowerPoint. Proven ability to manage workload independently, with strong planning and problem-solving skills. A proactive approach with a strong sense of urgency.
