About the Role

We are seeking an experienced Administrative Support Specialist to join our team at RGB Network. As an Administrative Support Specialist, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities
  • Coordinate office activities and operations to ensure efficiency and compliance with company procedures
  • Manage telephone and email enquiries, responding promptly and professionally
  • Develop and maintain filing systems, ensuring accurate and up-to-date records
  • Schedule and attend meetings, creating agendas and taking minutes
  • Organize travel and accommodation for staff, ensuring seamless logistics
  • Prepare and send correspondence, using a variety of software packages
  • Develop and maintain office systems and databases, ensuring data accuracy and integrity
  • Liaise with staff in other departments and external contacts, building strong relationships
  • Order and maintain stationery and equipment, ensuring a well-stocked office
  • Organize and send outgoing post, ensuring timely delivery
  • Store and retrieve paperwork, documents, and computer-based information, maintaining confidentiality
  • Perform photocopying, scanning, and printing tasks, as required
  • Prepare quotes, tenders, and project reports for management, using data analysis skills
Requirements
  • Experience in a construction or engineering administrative role
  • Proficiency in Sage or Eque2 software
  • Strong organizational skills, with attention to detail
  • Good understanding of invoicing and purchase order processes
  • Excellent oral and written communication skills
  • Tact, discretion, and respect for confidentiality
  • Pleasant, confident telephone manner
