Administrative Support Role

Hays Specialist Recruitment Limited is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will provide exceptional support to our Managing Directors, ensuring the smooth operation of our office.

  • Support the Directors: Proactively manage their schedules, book meeting rooms, and greet clients as needed.
  • Organise Events: Assist in promoting and organizing extracurricular activities, including events and entertainment for the Directors and wider team.
  • Admin Support: Collaborate with Office Management and other administrative staff to contribute to the efficient running of the office.
  • Ad-hoc Projects: Assist the Directors with ad-hoc projects as required.
  • Communication: Create and distribute agendas and meeting minutes, draft reports, and company forms for review and distribution.
  • Document Management: Compile, format, and bind presentation packs and reports as needed.
  • Expense Management: Complete expenses, manage invoices, and make payments using IFS systems.
  • Team Collaboration: Attend and contribute to monthly Admin meetings, and action any items raised.

Requirements

  • Administrative Experience: Proven experience working in an administrative role.
  • Organisation Skills: Excellent organisation skills and ability to assist others with organisation.
  • IT Skills: Intermediate IT skills, particularly with Word, Excel, and PowerPoint.
  • Availability: Willingness to work 5 days a week in the office.
