About the Role

This is a 12-month maternity cover position, working 25 hours per week, supporting the Head of Investment, Strategy and Insights with all aspects of administration support.

Key Responsibilities
  • High-Level Diary Management: Efficiently manage the Head of Investment's schedule, ensuring timely and effective coordination of meetings and appointments.
  • Email and Inbox Management: Proactively assess and respond to emails, taking appropriate action, forwarding information as required, and filing.
  • Workload Prioritization: Prioritize tasks efficiently and effectively, adapting to changing schedules and deadlines.
  • Meeting Preparation: Proactively gather and prepare necessary documents and materials for meetings.
  • Travel Arrangements: Book travel, accommodation, and restaurants, and coordinate itineraries.
  • Expense Processing: Process monthly expenses and create purchase orders.
  • Salesforce Management: Maintain accurate and up-to-date contact information and log meeting notes.
  • Team Support: Assist with creating agendas for team meetings and provide administrative support as needed.
Requirements
  • Confidence and Organization: Demonstrate a confident, highly organized, proactive, and self-starting approach.
  • Administrative Experience: Possess experience working in a similar senior-level administration role.
  • Time Management: Be able to self-manage and prioritize workload to meet tight deadlines.
  • Flexibility: Be able to adapt to varying levels of workload and prioritize tasks accordingly.
  • Communication Skills: Possess excellent written and oral communication skills.
  • Attention to Detail: Demonstrate excellent attention to detail and accuracy.
  • Teamwork: Be a good team player and able to use own initiative to anticipate and forward plan the Head of Investment's time.
  • Technical Skills: Possess advanced knowledge of Microsoft Outlook and PowerPoint.
