Office Support Specialist

We are seeking a highly organized and detail-oriented Office Support Specialist to join our Operations Team at BJSS. As an Office Support Specialist, you will play a vital role in ensuring the smooth day-to-day operations of our office.
Key Responsibilities- General Duties
- Provide exceptional reception services, including greeting visitors, answering phone calls, and responding to emails
- Manage office supplies, including ordering and stocking stationery, office equipment, and other essentials
- Arrange travel and accommodation for team members, as needed
- Coordinate meeting room schedules and ensure seamless communication with team members
- Maintain a safe, tidy, and efficient office environment
- Administrative Duties
- Process purchase orders, invoices, and other financial documents
- Manage the company credit card, including requesting and chasing invoices
- Assist with the organization of training programs and events
- Compliance Duties
- Ensure accurate record-keeping and compliance with company policies
- Update the office handbook as necessary
- Events and Projects
- Coordinate monthly staff socials, including ordering supplies and sending invitations
- Assist with planning and execution of quarterly town halls, summer strategy events, and Christmas parties
- Support the planning and execution of client events
- Problem-Solving and Improvement Initiatives
- Identify creative solutions for office improvements and implement changes
- Support the planning and execution of office improvement initiatives
- High school diploma or equivalent required; degree in business administration or related field preferred
- Minimum 1-2 years of experience in an administrative or operations role
- Excellent communication, organizational, and time management skills
- Ability to work independently and as part of a team
