About the Role

We are seeking a highly organized and detail-oriented Office Support Specialist to join our Operations Team at BJSS. As an Office Support Specialist, you will play a vital role in ensuring the smooth day-to-day operations of our office.

Key Responsibilities
  • General Duties
    • Provide exceptional reception services, including greeting visitors, answering phone calls, and responding to emails
    • Manage office supplies, including ordering and stocking stationery, office equipment, and other essentials
    • Arrange travel and accommodation for team members, as needed
    • Coordinate meeting room schedules and ensure seamless communication with team members
    • Maintain a safe, tidy, and efficient office environment
  • Administrative Duties
    • Process purchase orders, invoices, and other financial documents
    • Manage the company credit card, including requesting and chasing invoices
    • Assist with the organization of training programs and events
  • Compliance Duties
    • Ensure accurate record-keeping and compliance with company policies
    • Update the office handbook as necessary
  • Events and Projects
    • Coordinate monthly staff socials, including ordering supplies and sending invitations
    • Assist with planning and execution of quarterly town halls, summer strategy events, and Christmas parties
    • Support the planning and execution of client events
  • Problem-Solving and Improvement Initiatives
    • Identify creative solutions for office improvements and implement changes
    • Support the planning and execution of office improvement initiatives
Requirements
  • High school diploma or equivalent required; degree in business administration or related field preferred
  • Minimum 1-2 years of experience in an administrative or operations role
  • Excellent communication, organizational, and time management skills
  • Ability to work independently and as part of a team
  • Flexibility to adapt to changing priorities and deadlines
