In this role, you will be instrumental in enhancing the operational productivity of the department, collaborating closely with our Sales Managers and Engineers.
The ideal candidate will demonstrate excellent organizational and administrative capabilities, meticulous attention to detail, and effective multitasking skills.Experience in the Drainage or Cleaning industry is highly preferred.
Position Overview:
- Oversee job scheduling and diary management, maximizing the use of the CRM (Big Change) System in partnership with the Operations Manager.
- Strategically plan, schedule, and assess workload and staffing to ensure targets are achieved efficiently and profitably.
- Manage the Operations Department's email communications, addressing tasks as necessary.
- Organize the routes for the company fleet, prioritizing cost-effectiveness and efficiency.
- Serve as the primary contact for clients and Cleaning Technicians.
- Assist the team in coordinating activities that influence operational decisions and business needs, including stock, vehicles, technicians, and subcontractors.
- Supervise inventory management and ensure accurate record-keeping.
- Provide direction to Technicians in creating detailed work schedules adhering to strict timelines.
- Manage RAMS amendments and distribution.
- Issue post-job reports and Decontamination Certificates (including template updates and distribution).
- Notify relevant parties of any changes in delivery schedules.
- Procure materials and services necessary for job execution in consultation with the Operations Manager.
- Maintain the integrity of our internal database to ensure high accuracy in project records.
- Proficient in Mathematics and English.
- At least 2 years of experience in office administration.
- Familiarity with Operations departments or knowledge of Operations is advantageous.
- Proficient in general IT systems and applications, including spreadsheets, word processing, and databases.
- Experience in maintaining detailed records.
- Strong ability to prioritize tasks, manage time, and handle conflicting priorities.
- Effective communication skills at all levels, both internally and externally.
- Capability to compose and generate standard reports.
- Ability to handle confidential information with sensitivity and discretion.
- Competence in performing routine calculations.
